An Office Administration and Executive Assistant will join our team (based in Singapore), to help assist with general office administration duties, and some executive assistant duties effectively and efficiently. Reporting to the Head of Operations, as well as the Senior Management of the Company, the role will focus on upkeeping the office and assisting the executives on administrative matters, and other adhoc support.
Role and Responsibilities include:
Office Administration
- Assisting in expense claims for the team.
- Performing general office administration duties efficiently, such as filing, faxing, copying, letters, etc.
- Review of office upkeep, maintenance of office equipment and supplies, stationeries, pantry supplies stocking, liaising with external vendors
- Booking of meeting venues, sending confirmation of location details to relevant parties
- Planning and organising company events and gatherings
- Review of employees’ particulars, status, helping on onboarding process, liaison with career offices of universities for fresh graduate placements, internships and traineeships
- Assisting in timely insurance renewal
- Assisting on other operational support matters such as IT, ad hoc projects, etc.
- Lead office decoration efforts during festive seasons (e.g. Chinese New Year, Christmas, etc.)
- Lead process from sourcing to sending out corporate gifts
- Other adhoc support
Executive Assistant
- Executive assistant duties for senior team, including, but not limited to, sending out calendar invites, supporting with arranging of meetings, claims, etc.
- Reviewing of visa requirements for travel.
- Coordinating travel scheduling for flights and hotels, as well as its reimbursement in a timely manner as required.
- Supporting the Senior team as needed on adhoc basis.
Candidate Profile:
- Diploma or Bachelor’s Degree in any field from a reputable institution.
- LCCI Private Secretary’s Diploma qualification preferred but not essential.
- 1-3 years prior working experience, preferably in a similar role.
